Papaya Films creates commercials, music videos, credits for films and series, frames for computer games, live sessions, branded content and photo sessions commissioned by advertising agencies and clients.

Since 2006, he has been working with the largest and best companies in the industry, creating honest, energetic and valuable stories. Papaya Films runs three offices (Warsaw, New York, London), has worked in 32 countries, has won 84 industry awards, including four Production House of the Year titles, in 2012, 2016, 2017, 2018 and 2019 (Poland), three Bronze and Silver at the Cannes Lions Festival (France) and the SHOTS Award (England).

CHALLENGE

Papaya Films approached Baseline with the need to establish an electronic document flow, contract and project management as well as settlements of expenses and budgeting for individual production projects. Among the challenges faced by Baseline engineers, there was also the issue of creating appropriate matrices to support the debt collection process, aging of receivables, and all data obtained during processing in the Baseline™ system should be visible in the financial and accounting system.

SOLUTION

In the first stage, the electronic flow of documents and cost invoices was implemented with the use of the OCR mechanism, which accelerates the registration process of incoming letters. The contract workflow was prepared along with the related account for civil law contracts and the project management process was implemented. At this stage, the integration with the Sage Symfonia system took place.
In the second stage, Baseline’s implementers prepared an advance payment for project expenses for the client, created sales invoice handling matrices, which allowed starting the monitoring of liabilities (aging and debt collection). For the consistency and usability of the solution, Papaya Films also decided to adapt the Budget module to its own needs.

The implementation of the Baseline™ system allowed Papaya Films to digitize document circulation, integrate project management processes and provide information on costs and revenues from production projects. All important indicators and reports are available from the level of one application, which significantly facilitates access to information and making decisions in the field of cost planning for subsequent projects.
